Facilitators
Q: What is the grade or percentage that a learner needs to complete to receive the 30 hours of Act 48 or to be considered passing?
A: Learners qualify as having passed the course when the facilitator marks the enrollment as "Complete" at the end of the course. There is no scoring except for the computer generated quiz questions. The quiz is a self-check for the learner, but does not dictate pass or fail. The quiz score is visible to the principal on the progress report to serve as a flag for monitoring purposes. Each learner may retake a quiz as many times as they choose, there is not limit. However, once the learner completes the course and selects "Finish", his or her work is locked and cannot be revised. This communicates to the facilitator that the learner has completed all the course requirements and does not wish to further revise his or her coursework. The quality assurance for learning is in the monitoring feature within the system, which in most cases should be the principal of the building. This role should take a few minutes to check a learner’s work for completeness. The facilitator's role is to provide feedback and guidance to enable learners to do quality work throughout the course, not just at the time of completion.
Q: Can a facilitator facilitate one study group and be a member of another?
A: Yes, however, facilitators for a study group can also participate in all activities with in the study group they are facilitating.
Q: Are facilitators required to also enroll in the courses as learners?
A: For compliance purposes, if you facilitate a blended study group course, it will satisfy the CFF requirement for that course. Facilitators do not need to be both a facilitator and enrolled as a learner. Graduate course facilitators will need to contact Learning Sciences International for a case-by-case review for grant compliance. Act 48 hours are not available for graduate facilitators.
Q: Will Act 48 hours be automatically reported for facilitators?
A: No, but the district may under the current Act 48 guidelines submit the Act 48 hours on behalf of the facilitator. This can only be submitted once per course. If a facilitator facilitates the same course twice, the second facilitation would not be eligible for Act 48 hours.
Q: How can I review course content before my study group begins work?
A: By navigating to the Course Content page of the facilitator console for the study group you are working with, you can review the multimedia screens for the entire course, as well as view, download, and/or print any document the learner receives in the course. Directions for this action are located in your training manual, as well as under the facilitator section under Implementation Resources in the left navigation and then under the "Facilitator LMS Manual" on the 21st Century website.
Q: How will I know what topic should be discussed during the sync point discussion for a given unit?
A: A sync point discussion topic has been supplied to the facilitator for each unit of the course he/she is facilitating. The suggested sync point discussion topic can be found in the gray facilitator sync point instructions box at the end of the unit in the facilitator's version of the course Learning Guide.
Q: How much time per week will I have to devote to facilitating?
A: This will vary, of course, but for most facilitators it will average somewhere between 30 and 60 minutes per week at first. As the course progresses and a more steady flow occurs in your group's dynamic, this will decrease.
Q: Where do I get my copy of the facilitator's version of the Learning Guide for a course I'm facilitating?
A: When you navigate to the study group you are facilitating and go to the facilitator console, you will find the Facilitator Version of the Learning Guide on the Course Content page.
Q: Before my group can start I have to configure the group, which requires me to decide time frames for various aspects of the course to be completed. How can I estimate the time required if I have not facilitated this course before?
A: An activity time breakdown sheet has been developed for each eMBEDDED LEARNING Academy course. It gives an approximate amount of time required for each task that a learner must complete, including time for viewing multimedia, reading articles, completing activities, etc. This should help you estimate the amount of time you will need to allow for various aspects of the course.
Q: Once learners have finished a given course unit, is there something I must do to allow them to move on to the next unit?
A: Not necessarily. When, as facilitator, you configure the group, you will have the option to decide whether or not you want your learners stopped by the system at the end of each unit. If you choose to have them stopped, you will then have to "release them" before they can move on to the next unit. This is done from the Member Coursework page of the facilitator console for the study group with which you are working. If you choose not to have your learners stopped by the system at the end of units, they will be able to work continuously to the end of the course.
Q: Must all learners complete a given course unit before any of them can move on to the next unit?
A: No. It's always better to encourage the slower learners to keep up with the faster ones so that they can participate in the sync point discussion at the same time. However, if you have fast learners who want to move on to the next unit, you can release them at your discretion. This is done from the Member Coursework page of the facilitator console for the study group with which you are working. However, when you release a group, it releases all learners in that study group.
Q: What do I do if a learner is not actively participating?
A: Strong, consistent communication between the learner and you will generally prevent this from happening. However, this is not always the case. Make sure there are no problems or external issues that are preventing the learner from completing his/her work. If there are issues or problems, it's possible that the learner and you can work together to resolve them. Also, it is your building principal's responsibility to monitor study groups and learners to ensure everyone is making adequate progress.
Q: I have learners who have made their two postings for a sync point discussion, but the system will not let them advance to the next screen. What is causing this to happen?
A: Sync point discussions are designed to require online learners to take part in a discussion at the end of the unit. The facilitator provides a window of time within which this discussion must occur, which means that by that time, learners must have reached the end of the unit. The facilitator posts a discussion topic and each learner must make two postings, responding to the facilitator's original posting and/or responding to another learner's posting. Some learners attempt to take part in the discussion even though they have not reached the appropriate screen in the course. The online system is set up to check to see if the online learner has made the two required postings. However, it will not recognize the postings if the learner had not progressed to the appropriate screen in the course when the postings were made. In other words, a learner must first reach the sync point discussion screen in the course, and THEN do the two postings. If they are done earlier, the system will not recognize them. Therefore, if the person has done the postings early, please try to discourage this and have the learner progress to the proper screen in the course and THEN make the two postings.
Q: How do I post a sync point discussion?
A: To post a sync point discussion topic, navigate to the facilitator console for your study group. On the Communicate with Group page of the console (NOT the Communication tab at the top of the page) click on "Moderate Discussion Groups". This will take you to a listing of discussion groups that have been created in advance for your study group. Select the correct one for your sync point discussion (they are listed by unit number) and click on it. Once you have done this, you will see a listing of topics (if any) that have already have been started. (Note: The facilitator should always do the first posting for any sync point discussion). Click on "Start New Topic". This will open a window that will allow you to give your posting a name. Under "Description" you can post the discussion topic that was suggested for the unit in the facilitator's version of the Learning Guide.
Q: When my study group uses the Chat feature, members of the study group end up in two different chat areas. What is the cause of this?
A: There are two different chat areas available to online learners in the eMBEDDED LEARNING Academy. First, there is a "global chat" that cuts across everyone involved in the eMBEDDED LEARNING Academy. This one is accessed by clicking on the Communication tab at the top of the website and then, when the new page opens, clicking on "View Chat". This chat area is not limited to just your study group, but can be accessed by anyone involved in the eMBEDDED LEARNING Academy. If you want to participate in a private chat with others in your study group, there is a chat area specifically designated for that. To access it, learners must navigate to the learner console for the course they are taking and open the Communicate with Group page. They must then click on "View Chat". The facilitator can access this chat by going to the facilitator console for the desired study group and opening the Communicate with Group page. He/she would then click on "View Chat".
Q: If I have a question about the content of a course, whom do I contact?
A: It you have questions or concerns regarding course content, email the Customer Support Team. They will forward your concern to the appropriate content team member for immediate action.
